Subject: Requests To Change Certifiable Scores

The Department of Civil Service sets certifiable scores on a statewide basis and reviews them at least twice a year. However, we realize that the statewide score may not be adequate in all situations.

If an agency is having difficulty hiring candidates with certifiable scores, the agency may request that the score be adjusted by sending a letter to the Chief of Examining. The letter should explain what the problem is and what type of adjustment is needed. The letter should include statistical and historical information on prior certificates issued, demonstrating why the existing certifiable score is inadequate.

Some examples of situations which might warrant an adjustment of certifiable scores are:

1. The need to fill multiple vacancies in a particular area.

2. An availability problem in a particular area.

3. An expected increase in hiring.

Some specific requests which were approved in the past are describes below.

1. The Department of Corrections found the statewide certifiable score and use of certificates of eligibles inadequate for Probation and Parole Trainee - Adult because of the need to fill several vacancies at a time in Orleans and Jefferson parishes. We established a temporary regional certifiable score for these parishes.

2. The Medical Center of Louisiana New Orleans needed to replace a medical records contract with several hundred classified employees. In addition to setting a temporary certifiable score, we worked out a plan to help facilitate the filling of these positions.

3. The Department of Corrections was anticipating a dramatic increase in the number of Adult Probation and Parole Officers. We lowered the certifiable score statewide for that register.
