Subject:         No Actions W/Eff. Dates After 10/1/00 In CS02 Or AM45PC

This General Circular contains instructions which supercede previous instructions disseminated concerning the implementation of ISIS HR. As discussed in General Circular 1366, ISIS HR will replace CS02 and AM45PC in October.

To make this conversion as smooth as possible and to clearly delineate the old rules and the old systems from the new rules and the new system, all personnel and position actions effective on or before October 1, 2000 will take place in AM45PC and CS02 under the current rules. All actions effective on or after October 2, 2000 will take place in the new ISIS HR System and under the new Civil Service Rules.

Records which are in AM45PC on August 15, 2000 will be converted to ISIS HR. Any actions entered into AM45PC after August 15, 2000 will NOT appear in ISIS HR at "go live" on October 2, 2000. Actions entered into AM45PC after August 15, 2000 will have to be re-entered into ISIS HR after the system goes live on October 2, 2000. (Instructions on entering those actions in ISIS HR will be the subject of a future general circular.) For this reason, we strongly urge you to enter any position action with an effective date prior to October 2, 2000 into AM45PC before August 15, 2000. If you find that you absolutely must create a new position number between August 16th and October 1st, please contact Judy McGimsey in the Classification and Pay Division at (225) 342-8083 or jmcjgimsey@dscs.state.la.us BEFORE you create the position.

Records which are in CS02 on September 8, 2000 will be converted to ISIS HR. Any personnel actions entered into CS02 after September 8, 2000 will NOT appear in ISIS HR at "go live" on October 2, 2000. Any personnel actions entered into CS02 after September 8, 2000 will have to be re-entered into ISIS HR after the system goes live on October 2, 2000. (Instructions on entering those actions in ISIS HR will be the subject of a future general circular.) We strongly urge you to enter any personnel action with an effective date prior to October 2, 2000 into CS02 before September 8, 2000.

As soon as possible, please submit to Civil Service any position or personnel actions with effective dates prior to October 2, 2000 that you cannot or do not enter yourselves so that we can get them into CS02 or AM45PC in time for them to be converted so that you do not have to enter them into ISIS HR.

Entering as many records as possible into AM45PC by August 15, and into CS02 by September 8, will minimize the amount of "catch-up" entries you will have to make in ISIS HR after "go live" October 2. REMEMBER: do NOT enter ANY action with an EFFECTIVE date of October 2 or later into CS02 or AM45PC.

October 1 will be the last date that you can enter records into AM45PC or CS02. Any actions with effective dates prior to October 2, 2000 that were not entered into AM45PC or CS02 by October 1 must be submitted to the Department of Civil Service. Civil Service will approve these actions in accordance with the old rules (which will be in effect for actions with effective dates prior to October 2, 2000) and enter them into CS02 or AM45PC history. You will have to enter these actions into ISIS HR.

Any actions effective prior to October 2, 2000 which were not entered by Civil Service into AM45PC or CS02 prior to the conversion dates (8/15 and 9/8) will be sent to you after they’ve been approved.
