Subject:          Notice--Annual Compliance Report for Mandatory Supervisory Training

Issue Date:      July 29, 2008

 

NOTE: Please make this General Circular available to the person who is responsible

for tracking mandatory training in your agency.  Read all attachments before sending the report.

 

The annual compliance report for mandatory training will be due in our office on September 30, 2008.  This report requires agencies to submit the following information on each supervisory group. 

·       Employees with Deadlines January 1, 2007 – June 30, 2008

o      Number completed

o      Number not completed

·       Employees with Deadlines After June 30, 2008

o      Number yet to complete

 

In addition, you will supply information on the types of actions that have been taken by the agency to penalize any employee not completing the required training by their deadline date.  If no actions were taken against any employee not completing their training, you must indicate this.

 

This report must be submitted electronically and must be done so by September 30, 2008.  At the close of business on September 30, 2008, the report will be closed and no one will be able to enter data and submit electronically.  You are advised to print a hard copy of the report before you complete the report online.  This will allow you to gather all the necessary data prior to entry.  Attached is a PDF version of the report for your convenience.  Once this report is submitted it cannot be resubmitted; it may only be completed once.  To aid you, we have attached a document titled “Tips for Electronic Reporting” (read before sending the report) to help you complete the report online.  Please ask any questions you may have prior to completing the report online. 

 

Due to the electronic submission, the appointing authority’s signature will not be on the report. Therefore, an agency representative (i.e. HR Director or training coordinator) is required to inform the appointing authority of the status of the mandatory training report standings (i.e. number of employees complete/ not complete; etc.).  Appointing Authorities at agencies deemed to have low levels of compliance may be asked to appear before the CS Commission.

 

The agency’s Human Resource office is further required to maintain a copy of the information submitted (see Tips for Electronic Reporting).  This can be done by printing a hard copy of the report using the web browser, or handwriting the information on the PDF version.  It shall be made available to Civil Service representatives upon request.

NOTE: If you work for a large agency (ex. Corrections, DHH, DOTD, DSS, LSU, etc.) or in a regional office of an agency, contact your main HR office before completing the report.  The main HR office may require you to submit this information to them and/or may have further instructions for you.
